Facilities Inventory: Exporting Search Results to Excel

These instructions apply to the version of the facilities inventory system in use through June 30, 2023 and are not applicable for users updating data for the period from July 1, 2023 onwards.

Back to Facilities Inventory Documentation

  1. From the room or facilities search page enter your search criteria.
  2. If there are more than 50 results, click “Show All Records” to list a greater number of results.
  3. From the search results page, select the “Export Search Results to Excel (1000 rooms limit)” link.
  4. Select “Save” to save the results file to your computer.   The file will have the name “RoomSearchResults.xls”.
  5. When opening the results file in Excel, an error with the text ‘The file format and extension of RoomSearchResults.xls’ don’t match.  The file could be corrupted or unsafe.  Unless you trust the source, don’t open it.  Do you want to open it anyway?”  This error is caused by a mismatch between the XML download format and XLS extension.  It is safe to ignore the error and select “Yes” to open the file.

  6. Consider saving the file again with the XLSX extension since XLS is an older format.
