Facilities Inventory: Using Bulk Edit to Put Rooms in Hold or Freeze

These instructions apply to the version of the facilities inventory system in use through June 30, 2023 and are not applicable for users updating data for the period from July 1, 2023 onwards.

1. Search for the Rooms you want to put in Hold/Freeze, including the Org Code.  These instructions only work when searching for a "Dept/Section" org code such as 0102, not a college or division org code such as 0100.  Bulk Edit can handle only about 500 Rooms per transaction; add limits to the Facility Code field to reduce returns.

2. Make note of the number of rooms that you’re editing. You can find the count in the upper left corner of the search results.

3. Use the “Bulk Edit All Rooms” button in the middle of the screen to engage all the rooms in the search results

4. Confirm that you want to bulk change the org status on all rooms by selecting “Bulk Edit All Rooms” on the warning page.

5. Select the “Org Status” drop down in the ‘Org’ section of the bulk edit page. Change this drop down to “Freeze”.  If the "Org Status" drop-down does not appear, check to make sure your search in step 1 above used a "Dept/Sect" org code.

6. Select the “Save Changes” button in the lower left corner of the screen.

7. You’ll receive a message in the upper left corner of the screen that tells you how many rooms were updated.

8. Confirm that your room counts match (see step 2 above).

9. Select “Return to Search” in the bottom left corner of the screen.

10. Read your results to confirm that they match your intention. Instructions for additional tasks listed below that can be accomplished with “Bulk Edit”. Contact facilitiesinventory at cornell.edu for a copy of these more complex instructions:

  • Transfer rooms from your org to another org using bulk edit.
  • Update rooms to reflect that the space is now shared with another org using bulk edit.
