Items that can be changed in a room via the Single Org Rooms or Shared Rooms reports

Function Code percentage updates

  • Change function code percentages as needed.
  • All function codes need to be entered as whole numbers.

New Function Codes added

  • Simply add a new column in the function code area.
  • Add the Function Code identifier (ex: 1.1, 2.1, 9.1).
  • Enter the Function Code percentage.

Room Types can be changed using the report

  • Enter the correct 3-digit code for the new room type.
  • The Room Type Desc column can be left blank as the system will update based on the Room Type code entered.

Brief Room Information

  • Simply type in the updated text.

Org Codes can be changed using the report

  • Enter the correct 4-digit code for the Department.
  • The Org Name column can be left blank as the system will update based on the Org Code entered.
  • If transferring to a department outside the user's assigned area, then the room row should be deleted from the report and a message sent to the Org Admin to transfer the room to the new KFS department.

CC/EN Value changes

  • Enter the correct CC/EN value for the room
  • This change should match the established methodology per the University Budget Office instructions.

Org percentage updates

  • Change Org Code percentages as needed.
  • All Org Code percentages need to be entered as whole numbers.
  • If the room is being shared with a department outside the user's assigned area, then the Org Admin should be consulted to have the new department number added to the room.

Private Use/Vacant Use/Org Status

  • Each of these columns can be updated to the correct information.
  • Private Use/Vacant Use are either Yes or No values.
  • Org Status can be changed to Reviewed or Approved (depending on permission level).  Seek guidance from the College/Division Org Admin as to the required status update.

Add another room to the inventory if going in as a Single Org Room at 100%

  • Add a new row to the spreadsheet for each additional room to include in your inventory.
  • Add the Facility Code identifier.
  • Add the Room Number.
  • Add the Room Type identifier.
  • Add a Station Quantity.  Use zero if a station quantity is not required.
  • Add Org and Function code information
  • Shared rooms should be routed to the Org Admin to be added manually.

Once the updates have been completed, the information is ready for updating to the system.  Please seek guidance from the College/Division Org Admin for established procedures for submitting the information either to the College/Division Org Admin for review or directly to FIG for uploading.

Shared Rooms when the user does not control 100% of the room

  • These changes must be conducted manually in the system.
  • If there are many rooms in need of manual configuration, please reach out to the Org Admin and FIG to coordinate a system upload.
